Although almost every couple would benefit from the expertise and help of a wedding planner, some couples simply have more time to dedicate to planning than others.

Although the terms “wedding planner” and “wedding coordinator” are often used interchangeably, they mean very different things to wedding industry professionals.

If you find that you and your significant other have the time (and organizational capabilities) to give due diligence to the wedding planning process , you may not need a wedding planner. Instead, you’ll want to find a wedding coordinator. 

While a “wedding planner” is involved throughout the ENTIRE wedding planning process, a “wedding coordinator” jumps in around 1 month before your wedding day to confirm venue and vendor logistics and make sure everything goes according to plan.
 

What to Expect From a Wedding Planner

Ultimately, a wedding planner should remove the stress of wedding preparation, freeing engaged couples to actually enjoy their time together in anticipation of the big day. Wedding planners should reduce the amount of the “I just can’t wait for this planning to be over” feeling many couples develop as they get closer to their wedding date.

But what specific tasks can you expect your wedding planner to tackle? 
 

1) Schedule and attend vendor and venue meetings.

It is a wedding planner’s job to be on-top of things! Your wedding planner can help you assess your financial situation and develop a budget that will achieve your wedding vision within that price limit. They will also be able to keep track of venue or vendor deposit deadlines – to make sure you never miss out!
 

3) Develop your wedding design and vision.

From helping you establish your unique vision to planning the specific design elements that will bring your vision to life, wedding planners typically have the design knowledge, trend awareness, and vendor connections to create the perfect style, mood, and aesthetic for your wedding. They will help you assess floor plans, choose decorations, lighting, and much more!
 

4) Create and manage your wedding website.

Don’t have the time to mess around with a wedding website? Most wedding planners have done this PLENTY of times, making it a quick and easy process for newly engaged couples. Once your wedding planner has all the information they need, they can set the website up for you (and update it if anything changes).
 

5) Handle wedding invitations.

Wedding planners have a knack for the artsy side of things. Not only will they be able to create invitation designs that capture your ideal theme, but they can manage the logistics of sending them out to your guests, as well! Then, they will track your RSVPs and keep your guest list up-to-date.

6) Coordinate guest accommodations.

Whether you are planning a destination wedding or you have guests who will travel from afar to celebrate with you, you’re going to need to consider the hotel and transportation logistics for your guests. Luckily, your wedding planner can handle that for you – planning with nearby hotels and shuttle companies.
 

7) Assist with wedding photo styling.

Yes, you’ll have a photographer. But even the best photographers may need a little help when it comes time to staging wedding photos – from full-family shots to intimate wedding pictures. Odds are, you’ll be on a bit of a time crunch, and your wedding planner can help the photographer stay on schedule.
 

8) Oversee most (if not all) day-of logistics.

On your big day, many wedding planners are happy to help keep everything on schedule – so you and your guests don’t miss out on any key moments. And, inevitably, something will likely go wrong on your wedding day. With lots of experience responding to wedding crises, wedding planners can handle almost any unexpected circumstance. 
 

NOTE: It is important to remember that there are just some things that you should NOT expect your wedding planner to do. After all, they are only one person! You will still likely need help from family and friends to place decorations, run unexpected errands, clean up afterward, and more. For some of these tasks, you may even be able to rely on the help of venue or vendor staff.
